Why Spreadsheets Are No Longer The Answer
There’s something comforting about a spreadsheet. It’s familiar. It’s free. You can make it look exactly the way you want. And for years, it’s probably done the job just fine.
But “just fine” might not be good enough anymore. As your business grows and the rules around financial record-keeping evolve, that trusty spreadsheet could quietly be holding you back more than you realise.

The Spreadsheet Trap
Most small business owners and landlords start with spreadsheets because they’re accessible. You already know how to use Excel or Google Sheets, there’s no monthly fee, and you’re in complete control.
But that sense of control can be deceptive. Spreadsheets require you to do all the thinking; every formula, every category, every calculation. Which means every mistake is also yours to make.
The Disadvantages of Relying on Spreadsheets
They’re only as accurate as the person using them
A misplaced decimal, a cell that didn’t update, a formula that broke when you added a new row, spreadsheet errors are incredibly common, and they’re not always obvious until they cause a real problem. A spreadsheet won’t tell you that an invoice is overdue, that your expenses are up 15% on last quarter, or that your profit margin is slipping. It just holds the data you’ve put in, it won’t interpret it for you.
And crucially, they’re not MTD compatible
This one matters a lot right now. HMRC’s Making Tax Digital initiative requires businesses and individuals to keep and submit records using HMRC-recognised software. Standard spreadsheets; Excel, Google Sheets, do not meet that requirement on their own.
From April 2026, self-employed individuals and landlords earning over £50,000 must comply with MTD for Income Tax. From April 2027, that threshold drops to £30,000. If you’re still relying on a spreadsheet when that date arrives, you won’t be able to meet your obligations without additional bridging software, which adds complexity and cost, and still isn’t the cleanest solution.

Switching to dedicated accounting software isn’t just about staying on the right side of HMRC, though that’s a very good reason on its own. It’s about genuinely making your financial life easier.

Most accounting platforms connect directly to your bank account, pulling in transactions automatically. Instead of manually entering every payment and receipt, you’re reviewing and categorising a fraction of the time, with far less room for error.

At any moment, you can see exactly where your business stands. Profit and loss, cash flow, outstanding invoices, it’s all there, up to date, without you having to build a single formula.
Automation takes the repetitive work off your plate
Recurring invoices, payment reminders, expense categorisation, software handles the repetitive tasks that eat into your day. You set it up once and it works in the background.
Built-in error checking
Unlike a spreadsheet, accounting software is designed to flag inconsistencies. Duplicate transactions, uncategorised items, unreconciled accounts, these issues get surfaced rather than buried.
MTD-ready from the start
This is the big one. HMRC-recognised accounting software is built to handle Making Tax Digital requirements. Quarterly submissions, End of Period Statements, Final Declarations, it’s all built in. When the rules change, the software updates. You don’t have to reinvent anything.
Easy to share with your bookkeeper
Rather than emailing spreadsheets back and forth (and wondering which version is the right one), accounting software gives your bookkeeper direct, secure access to your records. Collaboration becomes straightforward, and your bookkeeper can spot issues before they become problems.
Reporting that actually means something
Accounting software doesn’t just store your numbers, it turns them into insights. Want to know which income stream is most profitable? How your costs compare to the same period last year? Which clients are slowest to pay? That information is a few clicks away.
“But I’ve Always Used Spreadsheets and It’s Been Fine”
That’s fair and if it’s genuinely been fine, that’s great. But “fine for now” and “right for where you’re going” aren’t the same thing.
If your business is growing, your admin is growing with it. The time cost of maintaining spreadsheets scales upwards in a way that accounting software doesn’t. And with MTD deadlines approaching, the moment to make the switch is before you’re forced to, not after.
Making the move now means you can choose software that fits how you work, get comfortable with it at your own pace, and arrive at April 2027 already confident in your process, rather than scrambling to comply.
